Please advise how to delete the mulitple duplicate entries of internal listing of roles such as:
Adjournment
Ah Counter/Grammarian etc. etc.
When I delete it - remove any time delegated, it does not work
With several new members going in and creating duplications without using a template has been the issue.

1) Please read the Agenda documention
https://support.toastmastersclubs.org/doc/item/agenda-index
2) you have to delete the entire role not just the time.

Hi Brian,
How do you delete duplications of the same role in the internal listing? I have eleven Ah Counter postings in the internal portion of the program which is annoying. How can you delete? There is no obvious way to clean up. Thank you!

If you are talking about the role reports. You have to correct the agenda that has the bad role name.

Hi Brian,
At the bottom of the Agenda when selecting a role - there is 'Add/Edit Agenda Items' in Red - is there ANY way to 'Delete' any Agenda items. New members have made multiple duplications of the same role which makes it difficult when creating a new template to select the correct Agenda Item. Please look at my first post for reference - and please try to physically remove from the internal listing - easy to add, can't figure out a way to delete multiple duplications.....we have over 100!
Thank you again 🙂

This is the problem. I would restrict all access, set up the template you want, put the VPE in charge and not let anyone have agenda edit access until they understand how the system works. This includes removing agenda edit access to roles if a newer member signs up for it.Cruse post=98291 wrote:New members have made multiple duplications of the same role.
Key downsides of multiple names for the same role is the role reports and the 'assign role' drop down will be a train wreck. On the other hand, if you delete 37 stray instances of Ah/Gram, those members will lose their role participation history in your FTH site. FTH provides a way to deal with this; Role / Agenda Item synonyms. See this document;
https://support.toastmastersclubs.org/doc/item/agenda-default-settings
You might want to set up the synonyms rather than delete the stray role histories so members can retain their participation history. (after fixing the root cause of the problem and establishing a master agenda so you don't have to continually deal with the issue and add to the role synonyms.)
What is your club number? We may be able to provide more specific pointers once we can study what is actually happening in your agendas.

Who do you give access to mofifying the created agenda.
Once the Agenda is created using a template there should not be any reason to modify it other that assigning people.
Once again fix the old agendas to make your reports only show the correct roles.

RE: how to remove roles
1. open agenda
2. click on PENCIL icon to EDIT agenda
3. use the TRASH CAN ICON to delete a role.

To Richard's most excellent point of limiting edit power, most clubs limit to VPE & Toastmaster of the Day... and maybe one other experienced FTH user who can help. Those powers are handled in 2 locations and discussed in the FTH documentation.

I replied directly to rhtaylor3, but I haven't seen it post, so I must have done something wrong.
I think I understand why you don't want to delete any role names.
So, I did what your suggested
- I created synonyms
- I went to the Roles/Agenda Item Title typed in a role, and I still saw all the synonyms in the dropdown.
- Then I saw in the fine print that it will only be "seen in reports".
Is there any way that those synonyms can be "hidden" in the "Roles/Agenda Item Title" dropdown? This would be very helpful.
(I can't seem to figure out how to add images, I hope there isn't a misunderstanding as to what I am talking about.)
May I suggest that you also add a "show/hide synonyms" option (default to hide), that way the person creating the agenda items can decide what they want to see.
Thank you

You don't delete the non-standard role name you FIX them to what ever your standard is in your club.

Brian,
I think the point is getting missed. I don’t want to sift through a long list of titles that are outdated, inconsistent across webmasters, or include errors like misspellings that end up sticking around permanently.
Please explain how a misspelling can be FIXED, so that the misspelled title is no longer displayed in the Role/Agenda Item Titles dropdown list.

Brian,
I am not talking about an agenda that has already been CREATED.
I am referring to when I am CREATING the agenda.
I have a blank agenda where i need to add a role, lets say the Toastmaster. I start typing in the word and the dropdown has a list of options that change with every letter that is entered. Then I am faced with a list of all the outdated and misspelled titles. I then have to scroll through them to find the current name we are using.
I am talking about the DROPDOWN list that appears with the ROLES / AGENDA ITEM TITLE entry. This list is what I want to be fixed. I want to be able to remove any outdated or misspelled titles.

1) You should never be starting with a blank Agenda
2) Your VP Education should create Agenda templates in the Admin,
- most clubs have a master template they use for creating agendas for regular meetings, create the master with the most speakers and evaluations you would have in a meeting. If they are not filled the Toastmaster can delete them, much easier than adding roles.
- you create other agenda templates for things like contests which are reused every year.
3) Regular members should be using pre created agendas that the VP Education creates we call these Dated Agendas. Most clubs create dated agendas at least 3 month ahead some create the agendas for the entire year.
4) No regular member should ever have to add roles to the agenda, if a role needs to be add then gthe VP Ed should be adding it.

that is where the * around the word *Grammarian* is important then it only counts it as 1 role
